Have you ever been frustrated by the time it takes to book an appointment at your physician’s office due to the complicated and inefficient scheduling process?  Chances are you are not alone: due to the absence of a streamlined solution, physicians have great difficulty booking rooms and resources to carry out procedures at their local hospitals in a timely fashion.  Realizing the need for an efficient and easy-to-use scheduling and collaboration environment, the Winchester District Memorial Hospital and the Champlain Local Health Integration Network (LHIN) selected Navantis to build a Physician Collaboration Environment and Data Centre Solution using the latest collaboration technologies from Microsoft.  As a result, physicians and their staff have more time to focus on what matters most: patient care.

By leveraging the capabilities of Microsoft Office SharePoint Server (MOSS), Microsoft Office Communication Server (OCS), and Microsoft’s Intelligent Application Gateway (IAG), physicians now have the ability to book resources and rooms for procedures at their local hospital immediately and before their patients leave their office. This on-the-spot booking solution replaces a complicated booking process that would often produce delays of up to two weeks to book a single procedure. Physicians will also benefit from improved on-call scheduling that will not only increase efficiency, but also improve patient care and reduce physician workload.

From a technical perspective, OCS was deployed into this collaboration environment to assist the administration staff from multiple hospitals and physician offices to work together more efficiently.  Federating hospital access using Active Directory Federation Services (ADFS) allowed for quick and seamless communication between the multiple roles which need to collaborate in a LHIN environment.  As a result, administration staff can now quickly resolve complicated scheduling conflicts with both physicians and resources that ultimately lead to more timely care for the patient.

In order to comply with the stringent privacy standards that are rigorously enforced in healthcare, Navantis used IAG to provide secure log-in capabilities for the physicians and the participating hospital administration staff.  The end result is a secure private network running over the internet that allows physician offices to collaborate with their respective hospitals and also allows hospitals within the same LHIN to collaborate with each other.

A large data centre was built to house SharePoint-based physician collaboration environments for each hospital in the LHIN.  Other collaboration initiatives that will include the Champlain Community Care Access Centre (CCAC) and other Healthcare Service Providers (HSP) in the LHIN are currently being planned.  These initiatives will all be housed within the data centre located at the Winchester District Memorial Hospital.

Now that the solution has been deployed, the stage is set for further work, including Business Intelligence reporting, e-referrals, chronic disease management, and more.  This same solution, environment, and data centre can now easily be deployed in other LHINs in Ontario and other health regions across Canada using the lessons learned and leveraging the existing solutions.
