Maintenance of categories in the EPM solution can, for medium to large implementations, be a time-consuming process. The ability for users to view projects is controlled by the category permission in the EPM solution. Therefore, often projects need to be added to one or more categories manually to ensure users are able to see this project in Project Center. This utility utilizes a custom field that allows project managers to select a value appropriate to the category of that project. For example, in a situation where an IT project should not be visible to sales and marketing, the IT projects need to be added to the IT Category, and Sales & Marketing Projects to the Sales & Marketing Category.
Users assigned to categories are only able to see projects in the categories to which they belong. Thus projects would need to be allocated only to the category appropriate to that department. This utility relieves the tedium of having to manually assign projects to categories and completely automates the process and therefore, saves the administrator a great deal of time. The utility is particularly appropriate where larger numbers of projects (100+) are held on the system and/or where there is a rapid turnover of projects.
