BUSINESS PROBLEMA large amount of correspondence takes place between the many different people and companies collaborating within the Bombela Consortium. Bombela needed the ability to better control the distribution of documentation between themselves and
the various stakeholders. The lack of a specialised document management platform within this environment caused the following business problems -Documents were managed on an ad-hoc basis with little centralised control - There was limited control and coordination
over the distribution of letters between Bombela Concession Company and other stakeholders - BCC’s electronic documentation contained almost no descriptive metadata making retrieval of documents very time consuming - The file storage used as a document repository
did not provide flexible views onto the repository, making retrieval difficult and time consuming - The lack of an enterprise wide search system made it difficult for staff to find what they were looking for - In the near to mid-term, TKC will not be available
to perform the “postman” role of distributing correspondence to Province. BCC had no other way of corresponding with the Province Project Wise system. A centralised and extendable Document Management Repository was created which allows users to quickly locate
corporate data critical to daily job performance. In addition, users of the solution were provided with a rich search interface for returning content and metadata, not only from within the document repository but from external resources as well. Multidimensional
views based on category taxonomy were provided to overhaul document retrieval.  To ensure that users were well equipped to make the most of the new solution, training was provided for administrative staff and identified content contributors.
